Adjusting CSI Events in Response to COVID-19

The wellbeing of all people – members of Chi Sigma Iota as well as their families, coworkers, clients, and communities – is our utmost priority, especially in light of the COVID-19 pandemic. CSI highly values the ability to facilitate meaningful connections among our members and in doing so advance our Society’s mission to promote excellence in counseling through many different initiatives including CSI Days events that were planned for the annual ACA Conference & Expo and CSI chapter initiations. Additionally and very importantly, CSI appreciates the invitation of the American Counseling Association to participate in the 2020 ACA Conference & Expo and the significant challenges our ACA colleagues, many of whom are members of CSI, are managing in this unprecedented situation.

Given the cancellation of the 2020 ACA Conference & Expo, CSI will host 2020 CSI Days events online. Additionally, CSI is encouraging chapters to prioritize safety related to COVID-19 concerns and to adhere to guidance provided by authorities in planning and reorganizing, as needed, chapter initiations and activities online.

While these are not the ideal plans we’d imagined to celebrate CSI’s 35th anniversary, we support our ACA colleagues in their decision to cancel the 2020 ACA Conference & Expo to prioritize safety and we believe that we can continue to celebrate CSI, welcome new members, and further the good work we’re doing through these alternative plans.

2020 CSI Days Events Rescheduled
A brief overview of the changes to CSI Days events is provided below, as well as on the CSI Days 2020 page of the CSI website. Additionally, a FAQ section to address specific details is included.

2020 CSI Annual Delegate Business Meeting
We will continue to celebrate CSI’s 35th anniversary during the CSI Annual Delegate Business Meeting that will be held online between 1:00 and 2:00 PM EST on Thursday, April 16, 2020.  Chapters must have a chapter delegate’s attendance recorded at this meeting at least once every three years to remain active, and to be eligible to earn a chapter rebate. A chapter delegate may be any active member of a chapter. Check out the FAQ section to read more about special “Log-In Prizes” and a $50 “Chapter Attendance Give-Back” for chapters that attend the meeting.

CSI Awards Ceremony
The CSI Awards Ceremony will be held online immediately following the online CSI Annual Delegate Business Meeting (scheduled between 1:00 and 2:00 PM EST on Thursday, April 16, 2020).  We expect the Awards Ceremony to begin at 2:00 PM EST on Thursday, April 16, 2020. The Awards Ceremony will be recorded and a link to the recording will be provided on the CSI website so that award recipients, counselor education programs, and CSI chapters can share the link on webpages, over social media, in announcements, etc. to celebrate award recipients!

Chapter Faculty Advisors Training & Chapter Leaders Training
CSI’s leadership trainings will be offered at select regional ACES conferences this fall and offered as part of CSI’s webinar series.

CSI-Sponsored Educational Sessions
The CSI-sponsored sessions will be presented as part of CSI’s webinar series.

CSI-Sponsored Poster Sessions
Presenters of CSI-sponsored poster sessions may contact Dr. Stephen Kennedy (stephen.kennedy@csi-net.org) if they wish to have their presentation shared on the CSI website. Presenters who were selected to present a CSI-sponsored poster session at the 2020 ACA Conference & Expo.

CSI Committee Meetings
Interested in becoming part of a CSI committee or learning more about what CSI committees do? CSI will share information via the E-News about how to attend an “open” committee meeting as each committee schedules online meetings this spring.

CSI Leadership Fellow and Intern Orientation
CSI will host the CSI LFI Orientation online with the incoming 2020-21 LFIs, and will be in touch with LFIs to reschedule a time and date.

CSI Executive Council Meeting
CSI’s Executive Council Meeting will be held online on Thursday, April 16, 2020 at 9:30am-10:30am EST.

JCLA Editorial Board Meeting
The JCLA Editorial Board Meeting will be held online on Friday, April, 17, 2020 at 10:30am EST online.

CSI Chapter Initiations Online
CSI’s historical expectation has been that chapter initiations are face-to-face events during which new members are welcomed into membership, take the CSI Oath of Membership, and receive their membership certificate and pin. Family, faculty, administrators, and friends are often apart of those in attendance. Given the present, extraordinary concerns, CSI encourages chapters to initiate new members in online initiation ceremonies in the absence of the ability to hold in person initiations.

As quickly as possible, Chapter Faculty Advisors should approve new members in the online Member Management System and submit their initiation dates so new members can be approved, initiated, and access member benefits (e.g., webinars, social media links, counseling wellness resources, access the CSI Store) without delay. As usual, CFAs need to approve members and submit initiation dates in the MMS at least two weeks before planned initiation dates. CSI will continue to mail new member certificates and pins to the CFA on record at their university mailing address.

CSI’s expectations for online initiations are outlined in the “CSI Chapter Initiations FAQs” below.

2020 CSI ANNUAL DELEGATE BUSINESS MEETING FAQs

Will there be a 2020 CSI Annual Delegate Business Meeting?
Yes - CSI will hold a 2020 CSI Annual Delegate Business Meeting online. CSI will not host the meeting at the 2020 ACA Conference & Expo as planned.

When will the online 2020 CSI Annual Delegate Business Meeting be held?

The 2020 CSI Annual Delegate Business Meeting will be held online as a CSI webinar between 1:00 and 2:00 PM EST on Thursday, April 16, 2020 (same date as the original planned event). The CSI Awards Ceremony will begin immediately following the official end of the Business Meeting. A recording of the Awards Ceremony will be posted on the CSI website so that programs and individuals can share the link and celebrate these important recognitions!

What if our chapter’s CFA cannot attend the online CSI Annual Delegate Business Meeting?
A chapter’s delegate to the CSI Annual Delegate Business Meeting does not have to be the chapter’s CFA or president. Any active (dues-paying) member of the chapter may attend and serve as the chapter delegate.

Can our chapter delegate watch the recording of the 2020 CSI Annual Delegate Business Meeting online instead of attending the live meeting?
No – chapter delegates must attend the live, online CSI Annual Delegate Business Meeting for their chapter’s attendance to be recorded and counted toward the requirement for a chapter to attend the CSI Annual Delegate Business Meeting at least once every three years.

Why can’t our chapter delegate watch the recording of the 2020 CSI Annual Delegate Business Meeting instead of attending live?
CSI’s Bylaws require delegates to attend the CSI Annual Delegate Business Meeting in order to constitute a quorum.

How do I attend the 2020 CSI Annual Delegate Business Meeting online?

All CSI members can register to attend the 2020 CSI Annual Delegate Business Meeting at www.csi-net.org/event/Business_Meeting_2020. If you previously registered for the event in San Diego, you are still registered and do not need to sign up again.

Anyone may attend the online CSI Annual Delegate Business Meeting; however, all attendees (i.e., chapter delegates and other attendees) must pre-register to attend. Once registered, registrants will receive an email with log-in information to access the online 2020 CSI Annual Delegate Business Meeting.

How will my chapter receive credit for have a delegate attend the 2020 CSI Annual Delegate Business Meeting?
Chapter delegates must pre-register on the CSI website to attend the 2020 CSI Annual Delegate Business Meeting.  Once registered, the chapter delegate must join the CSI Annual Delegate Business Meeting on time and have their attendance recorded for the duration of the meeting. To ensure a full hour of attendance, all delegates must be logged in by 1:00 PM EST on Thursday, April 16, 2020.

Does my chapter’s delegate also need to attend the CSI Awards Ceremony at 2:00-3:00 pm EST?

To meet the requirement of attending the Delegate Business Meeting, the delegate only needs to be logged in from 1:00-2:00 PM EST.  Nevertheless, we hope that delegates will remain online to help recognize the work of our exemplary 2020 award recipients.

How will CSI’s 35th Anniversary be celebrated?

CSI’s Leadership Interns are working with chapters to develop a presentation highlighting CSI chapters! CSI will let chapters know when the presentation is available online – and the link may be shared via social media, on chapter websites, etc.

Can my chapter delegate to the CSI Annual Delegate Business Meeting earn NBCC-approved Continuing Education hours for attending?
No – this is not a continuing education event.

Will there be door prizes like we usually enjoy at the Business Meeting?
Of course! We will be giving away special “CSI 35th Anniversary” merchandise, created especially for CSI’s anniversary year, as “Log-In Prizes” during the meeting – and we will mail the “Log-In” prizes to the lucky recipients! Stay tuned for more details.

What’s this about chapters being able to earn a $50 “Chapter Attendance Give-Back” for attending the 2020 CSI Annual Delegate Business Meeting?
Chapters that have a delegate’s recorded attendance at the online 2020 CSI Annual Delegate Business Meeting will earn $50! CSI will issue the funds when chapter rebates are mailed out in August 2020 (regardless of whether or not the chapter also has earned a Chapter Rebate).

CSI CHAPTER INITIATIONS FAQs

What must happen in an online chapter initiation?
Similar to chapter initiations held in a traditional face-to-face setting, the requirements for chapter initiations that are conducted online include those noted below.

CFAs approve new members and submit chapter initiation dates in the online Member Management System at least two weeks before the initiation.

CFAs approve of final list of new members sent by email.

CFAs ensure receipt of new member certificates and pins sent to the university mailing address.

Chapters present member certificates and pins to new members in a timely manner and in good condition.

Appropriate to the circumstances at hand, Chapters thoughtfully prepare the online initiation to communicate the significance of membership (e.g., speakers may address the chapter in an online initiation; PPT visuals may be used as part of the program; individual new member names should be read and acknowledged; other meaningful touches should be considered to make the ceremony professional and significant for attendees).

To the best of their ability, chapters utilize adequate technology to ensure participants' are successfully connected and can participate in an online initiation (e.g., able to hear and see presenters; able to communicate as needed with facilitators/presenters).

All new members take the CSI Membership Oath - this is a requirement to become a full CSI member.

Chapter leadership records attendance to be able to document when new members have been fully initiated.

What about online initiations when COVID-19 isn’t a concern?
The CSI Executive Council established the CSI Chapters in Online and Hybrid Task Force to examine the unique needs of chapters in online counselor education programs, including best practices for holding online chapter initiations. The Task Force has been hard at work over the last two years and will submit recommendations to the Executive Council related to best practices for online chapter events.

Why won’t CSI ship membership certificates and pins to CFAs at their home addresses?
CSI’s longstanding policy is to only ship certificates and pins to CFAs at university mailing addresses because this ensures that materials are received by/at the university and continuity for distributing membership certificates and pins to new members.

Why won’t CSI ship membership certificates and pins to individual members instead of CFAs?
CSI is a non-profit with a limited CSI Headquarters staff serving 400+ chartered chapters that welcome more than 7,000 new members a year. It is not fiscally or logistically possible to mail thousands of certificates and pins to individuals – from 35 years of experience, we have learned that we cannot guarantee materials are mailed to the correct destination as individual mailing addresses often change and CSI is not aware of the changes.

What do we do if our chapter is scheduled to host a CSI Speaker through the CSI Speaker Assistance Program?
Contact your CSI Speaker immediately to reschedule their visit or invite them to connect with your chapter online. Be sure your Speaker knows if your university is closed, if there are changes to your event plans, etc. We encourage you to check with the appropriate airlines, hotels, etc. in a timely manner to reschedule travel, process a refund, and make other arrangements.

CSI AWARDS & GRANTS FAQs

I am to receive a CSI Award or be recognized as a grant recipient during the Awards Ceremony? What happens now?
The Awards Committee will present CSI Awards, Excellence in Counseling Research Grants, Chapter Development Grants, and Statewide/Regional Networking Grants online at 2:00-3:00 pm EST immediately following the Delegate Business Meeting. A recording of the Awards Ceremony will then be posted on the CSI website. We hope award recipients, counselor education programs, and CSI chapters will share the link on their webpages, over social media, in announcements, etc. to celebrate award recipients!

How and when can I get my award plaque, certificate, etc.?
CSI Headquarters will mail awards, certificates, and checks to recipients in May 2020. Award and grant recipients should confirm the correct mailing address they will use in May 2020 to Dr. Stephen Kennedy at stephen.kennedy@csi-net.org.

Due to the COVID-19 situation, I may need to cancel a grant-funded event or be unable to complete my research project by the April deadline. What should I do?
CSI will make every effort to adjust our deadlines so that grant-funded events can be postponed or switched to a virtual environment, and extensions for research grants may be granted as well.  If you anticipate problems completing your project, please contact:
